Event Notifications

Setting up Event Notifications for Projects and Tasks

Event Notifications are messages, and or emails generated by Formpak when a change (Event) has occurred to a Project and or Task. Notifications are displayed to the right of the Home Screen, and email notifications can be configured to be sent directly to your email inbox.

The Event Notifications displays the date, time, project name, the type of change which has occurred, and the priority of the change.

To set up Event Notifications, navigate to Modify a User. Select the User ID from the list or use the search tool to find the User. Once located click on the User ID.

Add the Users email address in the fields shown below to receive emails and or Event Notifications. Select the Priority of the Event Notification you require to be emailed. High, Medium, or Low, and click ‘Save’.

 

Notifications on Projects

To set the User’s subscription to receive notifications on Projects navigate to ‘Manage a Users Subscription to Events on Projects’. For each Project Template there are a set of permissions detailing the Project State. See the below explanation of how these permissions effect Event Notifications on Projects. Once the relevant permissions have been updated click ‘Save’.

A – Status when a Project is modified and saved.

B – Project State relates to changes to the overall project status.

C – Default of Subscribe to Event is set to ‘No’. To receive Notifications a Priority of Event and Subscription Type will need to be selected. Default is medium priority. Only one priority can be ticked

D – The Priority of Event is shown on Event Notification for the user. If a user is in more than one role with competing priorities, the highest priority is shown.  Priority also interacts with User profile. For example, a User can request only High Priority events are emailed.

E – Default is ‘Always’. If not ‘Always’, then more than one subscription type is possible. For example, ‘Project Manager’ and ‘Assignee’.

F – ‘Project Manager’ refers to the User who has been allocated Manager of the Project.

G – ‘Account Manager’ refers to how internally different people have responsibility for different parts of the customer experience. For example, an Account Manager may have a responsibility for a particular geographic location or specific customer type.

H – ‘Task Assignor’ and ‘Task Assignee’ refer to Tasks which are part of the Project. For example, the ‘Assignor’ or ‘Assignee’ of a Task are subscribing to events on the Project which contains it.

The permissions can also be inherited from a role, however the email details will need to be added to each individual User within the role. See more information on setting up Roles and Permissions

 

Notifications on Tasks

To set the User’s permissions to receive notifications on Tasks navigate to ‘Manage a User’s Subscription to Events on Tasks’. For each Project Template there is a set of permissions with the Tasks specific to the Project Template. The permissions can also be inherited from a role; however the email details will need to be added to each individual User within the role. See the below explanation of how these permissions affect Event Notifications on Tasks. Once the relevant permissions have been updated click ‘Save’.

A – ‘Status’ when a Task is modified and saved. When a Task is actioned and saved.

B – ‘Task States’ refers to the status/progress of the Task Type.
